Pam Thompson gleaned the following information from the sales literature handed out at the meeting:

Elite Encompass is a document management application on a "digital dashboard" ("portal") platform that provides users with a comprehensive view of firm-wide data. It uses Microsoft’s SharePoint portal technology and Internet Explorer’s browser to integrate information from multiple sources into one view.

Users can search on both structured and unstructured text-based data, including HTML, PDF, TIFF (i.e. faxes), and Exchange files, in addition to standard office applications.

Highlights:

  • Stores and groups documents according to profile criteria into central repository for all documents, regardless of application or author; automatically categorizes documents
  • Integrates fully with all Elite system databases which enhances automatic entry of profile information
  • Prevents unfinished documents from being viewed before the author specifically "publishes" it for general release
  • Notifies users when new or updated information has been added to specified documents, categories folders, searches or indexed web sites via "subscriptions"
  • "Deal Rooms" deliver secure extranet access to documents for client and associate collaboration
  • Delivers advanced searching, filtering, and sorting by any criteria
  • Offers discussion threads for documents while simultaneously viewing document
  • "Smart Props" leverages relevant data in its native repository, eliminating the need to enter and replicate data into Encompass from other external systems
  • Utilizes user-defined profile meta data to determine document placement, ensuring predictable and consistent file management
  • Has individual document-level security within folders for maximum flexibility and document protection
  • Provides unique document ID’s for a simplified approach to identifying documents for easier access and retrieval
  • All documents touched by the user are shadowed to the individual’s hard drive.
  • Automatically alerts the user if a connection to the network is broken and prompts the user to store any new or updated documents when the network connection is restored.

The software costs $295 per user. A firm would also have to have or buy a server license for SharePoint from Microsoft.

Rochelle Bungie took the following notes at the meeting:

  1. Encompass -- Off-line User Support;
  2. Quick Links are fully customizable by the User; as well as the unique Document ID;
  3. Smart system -- observes the type of documents you work with, automatically adds this type of documents to your category list;
  4. Document Profile -- windows assist to speed up document saving by including relevant information such as the client name, number, etc.
  5. Publish Documents -- specified the importance of training persons in proper "Publishing" of documents;
  6. Ticker Line -- customers can use it for firm announcements, etc.
  7. Additional cost -- Microsoft license rental -- $72 per seat; and Server cost of $3,995 per server.
